Privacy Policy

AI Training Email sends your team short AI lessons, up to one per weekday, at the cadence the account owner sets, built from interviews about who does what and which tools they use. That takes some personal data. Here is exactly what we collect, why, who touches it, and how to make us delete it.
1. Who we are
AI Training Email is operated by Laguna Foundry LLC (“we,” “us”) at aitraining.email. You can reach us about anything in this policy at privacy@aitraining.email, or by post at Laguna Foundry LLC, 350 Forest Ave #16, Laguna Beach, CA 92652.
2. Our role: your company is the controller
This is a business-to-business service. Your company signs up, decides which employees get seats, and instructs us to process their information. In data-protection terms, your company is the controller of employee personal data and we are the processor, acting on your company’s instructions under our agreement.
For a small set of data, we act as the controller ourselves: the account owner’s contact details, billing records, and visits to this marketing site.
If you are an employee whose company uses AI Training Email, your employer decided to enroll you. Requests about your data can go to your employer or directly to us; either way, we act on them.
3. What we collect
We collect five categories of information, and only these:
- Account and billing data. The account owner’s name, work email, company name, and subscription records. Payments run through Stripe; full card numbers never reach our systems.
- Team roster and org structure. Employee names, roles, work email addresses, and how the team is organized, provided by the account owner during onboarding and refined in interviews.
- Tool inventories and workflows. The names of the software each person uses and a description of how they use it (“Sarah runs the HubSpot pipeline”). We never collect credentials, logins, files, or the contents of those tools.
- AI call recordings and transcripts. The onboarding interview, each employee’s interview, and periodic check-in calls are recorded with consent stated at the start of every call. Audio is deleted after transcription; the transcript is kept to build and sharpen lessons.
- Email engagement. Delivery, opens, clicks, and “I implemented this” responses on lesson emails, used to personalize the next lesson and to build the weekly digest your company’s owner sees.
We deliberately do not collect: passwords or API keys, documents or files from your tools, your customers’ data, or any special-category data (health, biometrics, and the like). If something in that list comes up on a call, it does not belong in a transcript and we remove it.
4. How we use it
- Build and personalize each person’s lessons around the tools they actually use, at the cadence the account owner sets.
- Schedule and run interview and check-in calls.
- Produce the weekly digest and AI Adoption Score for the account owner.
- Bill the subscription and operate the service.
- Answer support requests and meet legal obligations.
We do not sell personal data, do not share it with advertisers, and do not use it for advertising of any kind.
5. No training across customers
Your data personalizes your program, nothing else. We do not use one customer’s interviews, transcripts, tool inventories, or engagement data to train models shared across customers, and your data never influences another customer’s lessons. Our LLM providers are contractually barred from training their models on data we send them.
6. Who processes it for us
Four subprocessors handle data on our behalf, each under a data processing agreement:
If this list changes, we update it here and notify account owners by email before the new subprocessor touches any data.
7. How long we keep it
- Call audio: deleted automatically after transcription.
- Everything else: kept while your subscription is active, because it is what the lessons are built from.
- After cancellation or on request: deleted within 30 days, except billing records we are legally required to retain. We confirm deletion in writing.
8. Your rights
Account owners and employees can ask us to access, correct, export, or delete their personal data by emailing privacy@aitraining.email. Where your employer is the controller, we may loop them in or redirect the request to them, as the law requires, but we never ignore a request. Depending on where you live (for example, the EEA, UK, or California), you may have additional statutory rights, including the right to complain to a supervisory authority.
9. Email choices
Every lesson email includes a working unsubscribe link and a way to pause a seat. Unsubscribing stops lesson emails for that person; transactional email (billing, account notices) continues while the account exists. Our sending complies with CAN-SPAM, including the physical postal address shown in every footer.
10. Security
Data is encrypted in transit and at rest, access is limited to the people who operate the service, and each customer’s data is isolated from every other customer’s. The plain-language version lives on our security page.
11. Changes to this policy
If we change this policy in a way that matters, we email every account owner before the change takes effect and update the date at the top of this page. We do not quietly rewrite history.
