Security
How we handle your data.
Written for the IT person who just got forwarded this link. One page, plain language, no diagrams of padlocks. The full legal version is in the Privacy Policy.
What we collect
We catalog tool names and workflows like “Sarah runs the HubSpot pipeline” and “Mike closes the books in Excel.” Concretely, that means: employee names, roles, and work email addresses; the software each person uses and how; interview and check-in transcripts; and email engagement (opens, clicks, “I implemented this”). That is the complete list. It is what lessons are built from, and nothing else is needed.
What we never touch
- No credentials. We never ask for, store, or connect with passwords, API keys, or logins to any of your systems. There is no integration to misconfigure because there is no integration.
- No files. No documents, spreadsheets, repos, or exports. We never see the contents of your tools. Lessons teach what your software can do, not what your company stores in it.
- No customer data. Your customers’ information never enters our systems, and the interview agent is built not to ask for it.
The AI calls
Recordings are consent-first. Every call is started by you or your employee. Nobody gets cold-called. The agent says it is an AI and that the call is recorded in its first sentence, and anyone can hang up at any time. Audio is deleted as soon as it is transcribed; only the transcript is kept, and only to build your team’s lessons.
Where your data goes
Four vendors process data on our behalf, each under a data processing agreement. This is the whole list:
Data is encrypted in transit and at rest. Laguna Foundry LLC is the company that operates AI Training Email, and access inside it is limited to the people who run the service.
Per-customer isolation
Your company’s data is segregated from every other customer’s. It personalizes your program and nothing else: it never trains shared models, never trains our LLM providers’ models, and never influences another customer’s lessons. What Sarah tells the agent improves Sarah’s lessons, not a stranger’s.
Deletion
Ask us to delete everything, and we delete everything: roster, transcripts, tool inventories, engagement history, all of it, within 30 days, with written confirmation. That applies to a single seat, mid-subscription, or after you cancel. The only exception is billing records the law requires us to keep.
Questions
Security questionnaires, deletion requests, or something we should know about: security@aitraining.email. We answer in plain language there, too.
